QuickTM30 Terms and Conditions
Important notice - read before using QuickTM30
QuickTM30 is a private software tool. It is not an official Thai Immigration, police, or government application, and it is not affiliated with or endorsed by any government authority. The Service helps accommodation providers prepare TM30-ready records, review screens, exports, audit logs, and related operational data. It does not replace your legal duty to file, correct, monitor, and retain official TM30 or other immigration records. OCR, MRZ parsing, export generation, email delivery, network connections, third-party services, and government websites can fail or produce errors. You must review every record before final save, export, upload, or submission. You are solely responsible and liable for uploading or submitting data to any government webpage or official system, for checking official receipts/status, and for correcting any rejected, late, inaccurate, or incomplete submission. Monthly/plan scan balances expire at the end of the applicable monthly billing period and do not carry over. Top-up scan balances do not expire by time and carry over across billing periods and plan changes while your account remains active and in good standing.
1. Acceptance of these Terms
These Terms and Conditions (“Terms”) govern access to and use of the QuickTM30 mobile application, website, APIs, exports, support services, documentation, and related features (together, the “Service”). By creating an account, logging in, scanning a passport, uploading data, saving a record, buying a plan or top-up, or otherwise using the Service, you agree to these Terms. If you use the Service for a hotel, resort, serviced apartment, landlord, property manager, rental operator, company, or other accommodation provider, you confirm that you are authorized to bind that organization. In these Terms, “you” and “Customer” include that organization and its authorized staff, agents, contractors, and administrators. If you do not agree to these Terms, you must not access or use the Service. You must also ensure that your staff do not use the Service until they have been authorized and instructed to comply with these Terms.
2. Key definitions
“Authorized User” means a staff member, administrator, contractor, or agent whom the Customer permits to access the Service. “Guest Data” means personal data, stay data, passport data, MRZ data, images, and other information relating to a foreign guest, tenant, visitor, or other person whose data is processed through the Service. “Government System” means any official Thai Immigration, police, government, or other public authority website, portal, application, office, process, form, or database. “Submission” means a guest/stay record created in QuickTM30. “Final Save” means the user action that confirms and saves a reviewed Submission as final inside the Service and, where applicable, consumes scan quota. “Plan Balance” or “Subscription Allocation” means the scans included in a subscription plan for a monthly billing period. “Top-Up Balance” means additional scans purchased separately from a plan. References to “TM30” include the Thai residence notification process commonly known as TM.30, the related notification of residence for foreigners, and any successor, replacement, or equivalent official reporting process.
3. What QuickTM30 provides
QuickTM30 is designed to help accommodation providers manage operational workflows connected with guest residence reporting and record preparation. Depending on your plan and enabled features, the Service may help you: capture passport MRZ images and upload camera-captured MRZ crops for OCR; extract or parse MRZ data; create guest and stay records; review and correct extracted data; final-save Submissions; generate Excel or other exports; maintain scan history; manage staff access; manage subscription, top-up, and payment slip workflows through the web/admin account; maintain audit logs and support tickets; and display protected media previews. The Service may create draft records, parsed fields, suggested values, export files, status flags, and other data from information you or your Authorized Users provide. The Service is an operational aid only. It does not guarantee legal compliance, official acceptance, or error-free output.
4. What QuickTM30 does not provide
QuickTM30 does not provide legal advice, immigration advice, accounting advice, government filing services, government representation, or any guarantee that a Government System will accept a record or export. You must obtain independent advice where necessary. Unless a separate written agreement signed by QuickTM30 expressly states otherwise, QuickTM30 does not submit TM30 or other official filings on your behalf, does not monitor Government System deadlines for you, does not verify official receipts, and does not act as your agent before any government authority. If a future version of the Service offers an integration, shortcut, automation, or assisted upload to a Government System, you remain responsible for reviewing all data, authorizing the submission, verifying the official result, retaining receipts, and correcting errors unless a separate signed agreement expressly shifts a specific responsibility to QuickTM30.
5. Eligibility and permitted use
The Service is intended for business use by accommodation providers and their authorized staff. It is not intended for use by guests, consumers, children, or persons who are not authorized to process the relevant Guest Data. You must use the Service only for lawful business purposes connected with accommodation reporting, guest record-keeping, billing, staff administration, exports, and related operational activities. You must not use the Service to collect, process, or store personal data that is unrelated to those purposes.
6. Your non-delegable compliance responsibilities
You are solely responsible for complying with all laws, regulations, licenses, government instructions, hotel rules, immigration obligations, tax/accounting obligations, labor rules, privacy/data protection obligations, and retention obligations that apply to your business, your staff, your guests, and your use of the Service. Your responsibilities include, without limitation: determining whether and when a TM30 or other official report must be made; collecting the correct guest information; ensuring you have a lawful basis to collect and process Guest Data; reviewing and correcting data generated by the Service; uploading or submitting data to the correct official system or office; confirming official receipt or acceptance; keeping copies of receipts and exports; correcting rejected or inaccurate reports; and meeting all applicable deadlines. You must use alternative reporting methods if the Service, your device, your network, email delivery, an export file, a Government System, or any third-party service is unavailable, delayed, rejected, or malfunctioning. Service unavailability does not excuse your legal reporting duties.
7. Mandatory review before saving, exporting, or submitting
Before you Final Save, export, email, upload, submit, or otherwise rely on any record, you must carefully review all guest fields, passport fields, nationality, dates, spelling, MRZ results, stay details, duplicate warnings, export ranges, and destination details. You must correct any inaccurate, incomplete, outdated, duplicated, or suspicious information before relying on it. By clicking or tapping any Save, Final Save, Export, Email, Download, Submit, Upload, Confirm, or similar button, you represent and warrant that you have reviewed the relevant data and that, to the best of your knowledge, it is accurate, complete, lawful to process, and suitable for your intended use. You acknowledge that errors can occur due to technical issues, image quality, OCR limitations, MRZ formatting, damaged documents, user input mistakes, device hardware, lighting, connectivity, server errors, software bugs, third-party outages, spreadsheet formatting, email delivery issues, government portal changes, or other causes. You remain responsible for detecting and correcting those errors before relying on the output.
8. TM30 and Government System responsibility
QuickTM30 helps prepare data and exports that may be useful for TM30-related workflows. It does not control any Government System and cannot guarantee that any Government System is available, unchanged, secure, compatible, or will accept an export. You are solely responsible and liable for any upload, filing, correction, late filing, non-filing, rejected filing, official receipt, official query, fine, penalty, inspection, visa or immigration consequence, guest complaint, or other consequence arising from your use or non-use of any data generated through the Service. You must maintain your own official login credentials, access rights, receipts, confirmation numbers, and records. You must not share government credentials with QuickTM30 unless a future feature expressly requires it and you have accepted separate written terms for that feature.
9. OCR, MRZ extraction, and data accuracy
OCR and MRZ extraction are assistive technologies. Accuracy may vary depending on document type, document condition, image quality, camera focus, lighting, glare, cropping, device hardware, network conditions, document language, MRZ validity, user handling, and software or worker availability. QuickTM30 may display confidence scores, parsing metadata, duplicate warnings, workflow statuses, or diagnostics to help you review records. These are informational aids only and may be incomplete or incorrect. They are not a legal determination, official confirmation, or guarantee. You must not rely on OCR/MRZ output without human review. If the data shown in the Service does not match the original passport, guest record, or legal requirement, you must correct it or use another method.
10. Accounts, staff access, devices, and security
You are responsible for all activity under your hotel account, administrator account, staff accounts, devices, sessions, API tokens, passwords, exports, and payment workflows. You must keep credentials secure, use strong passwords, limit staff access to authorized persons, promptly remove access for staff who no longer need it, and notify us immediately of suspected unauthorized access. The Service may use device identifiers, device binding, session controls, staff roles, password changes, activity logs, and other security controls. You must not bypass or weaken those controls. We may suspend, revoke, or reset access if we reasonably believe that an account, device, session, credential, payment, or data flow is insecure, fraudulent, misused, or non-compliant. You are responsible for training Authorized Users and for ensuring they understand the mandatory review, privacy, security, and government-submission obligations in these Terms.
11. Guest Data, notices, and authority to process
You represent and warrant that you have all notices, consents, lawful bases, rights, permissions, licenses, and authorizations necessary to collect, scan, upload, store, process, export, and submit Guest Data through the Service. You must provide all privacy notices required by law to guests and other data subjects. You must not scan or upload passports, payment slips, IDs, images, or other personal data unless you are authorized to do so and the data is necessary for a legitimate accommodation, reporting, billing, support, or compliance purpose. You must not use the Service for surveillance, profiling, marketing lists, unrelated identity verification, or unrelated data collection. You remain responsible for responding to guest requests, complaints, and inquiries regarding the Guest Data that you control, including access, correction, deletion, objection, restriction, or other data-subject rights under applicable law. QuickTM30 may assist you as described in the Privacy Policy or a separate agreement, but it does not replace your responsibilities as the accommodation provider.
12. Acceptable use restrictions
You must not, and must not allow any person to: use the Service for unlawful, harmful, deceptive, fraudulent, abusive, harassing, discriminatory, or rights-violating activities; upload malware or harmful files; attempt to gain unauthorized access; interfere with or overload the Service; bypass security, quotas, device restrictions, or billing controls; scrape, crawl, resell, sublicense, copy, modify, decompile, reverse engineer, or create derivative works of the Service except where mandatory law permits; upload data you are not authorized to process; use the Service to store unrelated personal data; misrepresent QuickTM30 as a government service; or use the Service in a way that could harm QuickTM30, other customers, guests, service providers, or government systems. We may suspend or terminate access, remove or quarantine data, block devices, revoke sessions, or refuse support if we reasonably believe prohibited use has occurred or may occur.
13. Plans, subscriptions, quotas, and top-ups
QuickTM30 may offer free trials, paid subscription plans, scan quotas, staff-seat limits, top-up scan packages, extra staff packs, promotional credits, and add-ons. Available features, prices, currencies, taxes, payment methods, scan allowances, staff seats, and billing cycles are displayed in the app, invoice, order screen, website, app-store listing, or other checkout flow at the time of purchase. Unless the relevant plan clearly states otherwise, subscription scan allocations are monthly period allowances. A Plan Balance expires at the end of the applicable monthly billing period and does not carry over to the next month, a renewal period, a new plan, a cancelled plan, or a changed plan. Unused monthly scans are not refundable, not redeemable for cash, and not exchangeable for other services. Top-Up Balance does not expire by time. Top-up scans carry over across billing periods and plan changes while your account remains active and in good standing. Top-up scans are not redeemable for cash, cannot be transferred to another customer unless we agree in writing, and may be adjusted for fraud, abuse, chargebacks, mistaken credits, duplicate credits, reversals, illegal use, account termination for cause, or mandatory legal requirements. Unless stated otherwise in the Service, available monthly subscription scans are consumed first, and Top-Up Balance is consumed only after the monthly Plan Balance is exhausted. Draft creation, passport upload, OCR processing, and OCR retry do not normally consume scan quota. A scan is normally consumed on Final Save of a Submission, subject to the product rules shown in the Service and any corrections for abuse, duplicate misuse, technical error, or mistaken counting. An active subscription or active account may be required to use the Service and to consume top-up scans. If a subscription expires, is suspended, or is cancelled, your Top-Up Balance may remain credited to your account but may not be usable until the account or subscription is restored, unless the Service expressly states otherwise.
14. Billing, payment slips, taxes, and refunds
You must pay all fees, taxes, bank charges, payment processor fees, app-store charges, withholding obligations, and other amounts due for your purchases. If payment is handled by Apple, Google, a bank, payment processor, or app store, that third party’s terms and refund rules may also apply. For bank transfer or payment slip workflows, you are responsible for submitting accurate payment references and genuine payment evidence. We may manually or automatically review payment slips. Credits may be pending, provisional, verified, rejected, revoked, or reversed. We may revoke credits if payment cannot be verified, is reversed, is refunded, is fraudulent, is duplicated, or is subject to chargeback. Except where mandatory law requires otherwise or we expressly state in writing, fees are non-refundable once a billing period starts, a top-up or add-on is purchased, a payment is verified, a plan is activated, or a scan/add-on credit is applied. Promotional or free credits have no cash value and may be withdrawn or expire according to their promotional terms.
15. Exports, downloads, email delivery, and retention by Customer
Exports are generated from data available in the Service at the time of export. You must review export ranges, included records, data fields, file formats, and destination email addresses before relying on or sending an export. If email delivery is enabled, you are responsible for using correct and secure recipient addresses and for ensuring the recipient is authorized to receive the file. Email delivery can fail, be delayed, be filtered, or be intercepted outside our control. Sensitive exports should be handled carefully. You are responsible for retaining official receipts, exported files, reports, audit materials, and business records for the period required by law and your internal policies. The Service is not your sole archive. We may apply data-retention, deletion, backup, or storage-limit rules as described in the Privacy Policy, your plan, or the Service.
16. Service availability, maintenance, and changes
We aim to provide a reliable Service, but we do not guarantee uninterrupted availability, error-free operation, real-time processing, continuous OCR workers, uninterrupted email delivery, compatibility with every device, or compatibility with every future change to a Government System. We may add, modify, suspend, remove, or discontinue features; change APIs; perform scheduled or emergency maintenance; patch security issues; change vendors; impose limits; or change plan features or pricing. We will try to provide reasonable notice for material changes where practical, but urgent operational, legal, or security changes may occur without prior notice. You must plan for downtime and use alternative reporting methods where needed to meet official deadlines.
17. Beta, experimental, or preview features
Some features may be marked or treated as beta, experimental, preview, test, limited release, or early access. Such features may be incomplete, unstable, inaccurate, changed, or removed at any time. You should not rely on beta features for legal reporting obligations unless you have independently verified all outputs.
18. Intellectual property and license
The Service, software, source code, object code, design, workflows, documentation, logos, trademarks, trade names, icons, databases, templates, export formats, and related materials are owned by QuickTM30 or its licensors and are protected by intellectual property and other laws. Subject to these Terms and your payment obligations, we grant you a limited, non-exclusive, non-transferable, non-sublicensable, revocable license to use the Service for your internal accommodation business operations. You receive no ownership interest in the Service. You must not copy, modify, distribute, sell, lease, sublicense, publicly display, reverse engineer, or create derivative works of the Service except where expressly permitted by us in writing or by mandatory law.
19. Customer data ownership and license to process
As between you and QuickTM30, you retain ownership of your hotel data, staff data, Guest Data, payment-slip data, support messages, and other content you submit to the Service, subject to any rights of guests or third parties. You grant QuickTM30 and its service providers a worldwide, non-exclusive, royalty-free license to host, copy, transmit, process, display, create technical derivatives of, secure, back up, troubleshoot, and otherwise use that data as necessary to provide, maintain, secure, support, and improve the Service; comply with law; enforce these Terms; and exercise rights described in the Privacy Policy. We may use aggregated, anonymized, or de-identified information for analytics, security, product improvement, business reporting, and service reliability, provided it does not identify you, your staff, your guests, or another individual.
20. Third-party services and app stores
The Service may depend on third-party hosting, storage, email delivery, monitoring, OCR, analytics, app stores, payment processors, banks, device operating systems, and Government Systems. We do not control third-party services and are not responsible for their outages, acts, omissions, terms, policies, security, fees, or changes. If you download the Service from an app store, the app store’s terms may also apply. The app store is not responsible for the Service except to the extent required by its own terms or applicable law.
21. Data Processing Addendum for Guest Data
This Section 21 forms a data processing addendum (“DPA”) between the Customer and QuickTM30 for Guest Data to the extent QuickTM30 processes Guest Data as a processor/service provider on the Customer’s behalf. Roles. The Customer is normally the data controller for Guest Data because the Customer decides why and how Guest Data is collected, reviewed, retained, exported, and submitted. QuickTM30 normally acts as a data processor for Guest Data when it processes that data to provide the Service according to the Customer’s instructions. QuickTM30 may act as an independent controller for account administration, billing, security, fraud prevention, service analytics, legal compliance, and support data as described in the Privacy Policy. Customer instructions. The Customer instructs QuickTM30 to process Guest Data to provide the Service, including hosting, storage, OCR/MRZ processing, review screens, export creation, media previews, support, security, troubleshooting, backups, and deletion/return where applicable. QuickTM30 may refuse or suspend processing that it reasonably believes is unlawful or violates these Terms. Processor commitments. QuickTM30 will use commercially reasonable measures to process Guest Data only for permitted purposes, require appropriate confidentiality from personnel with access, maintain reasonable technical and organizational security measures, assist the Customer with reasonable data-subject and security requests where applicable, notify the Customer of personal data breaches as required by applicable law, and delete or return Guest Data according to the Service, your instructions, legal requirements, backup cycles, and our retention practices. Subprocessors. The Customer authorizes QuickTM30 to use subprocessors and service providers for hosting, storage, OCR, email delivery, monitoring, support, security, payment, and other operational purposes. QuickTM30 remains responsible for subprocessors as required by applicable law and will use reasonable contractual protections for subprocessors that process personal data. Customer commitments. The Customer remains responsible for notices, lawful basis, guest consents where required, data minimization, staff access controls, accuracy review, official submissions, retention instructions, deletion instructions, and compliance with privacy laws. The Customer must not instruct QuickTM30 to process Guest Data in a way that violates law or these Terms. Conflicts. If a separately signed data processing agreement exists between you and QuickTM30, that signed agreement controls over this Section 21 to the extent of a direct conflict.
22. Privacy Policy
Your use of the Service is also governed by the QuickTM30 Privacy Policy. If there is a conflict between these Terms and the Privacy Policy regarding how QuickTM30 collects, uses, shares, protects, or retains personal data, the Privacy Policy controls for that privacy issue. These Terms control commercial, account, billing, liability, and Service-use issues unless the Privacy Policy expressly states otherwise.
23. Feedback
If you provide feedback, suggestions, ideas, bug reports, feature requests, or other comments, you grant QuickTM30 a perpetual, worldwide, royalty-free, irrevocable license to use them without restriction or compensation for any purpose, including improving the Service. You must not provide feedback that you are not authorized to disclose.
24. Suspension and termination
You may stop using the Service at any time. You remain responsible for fees already incurred, official reporting duties, and your own data exports and records. We may suspend, limit, or terminate access immediately if you breach these Terms, fail to pay, create security risk, misuse the Service, violate law, process unauthorized data, threaten or abuse staff, cause operational harm, trigger chargebacks or fraud concerns, become inactive, or where suspension is required to protect QuickTM30, users, guests, government systems, or the public. Upon termination, your right to use the Service ends. We may retain, delete, anonymize, or restrict data according to the Privacy Policy, plan terms, backup cycles, legal obligations, security needs, dispute needs, and our legitimate business requirements. Sections intended by their nature to survive termination continue to apply, including payment obligations, review obligations, government-submission responsibility, intellectual property, privacy/data processing, disclaimers, liability limits, indemnity, governing law, and dispute provisions.
25. Disclaimers
To the maximum extent permitted by law, the Service is provided “as is” and “as available.” We disclaim all warranties, representations, conditions, and guarantees, whether express, implied, statutory, or otherwise, including merchantability, fitness for a particular purpose, non-infringement, accuracy, availability, uninterrupted operation, error-free operation, security, compatibility, and acceptance by any Government System. We do not warrant that OCR/MRZ extraction, exports, duplicate checks, payment statuses, usage balances, email delivery, protected previews, support responses, audit logs, or other Service outputs will be accurate, complete, timely, secure, or free of errors. You must verify all data and use alternative processes where necessary. No advice or information, whether oral or written, obtained from QuickTM30 or through the Service creates any warranty not expressly stated in these Terms.
26. Limitation of liability
To the maximum extent permitted by law, QuickTM30, its affiliates, directors, officers, employees, contractors, licensors, and service providers will not be liable for indirect, incidental, special, consequential, exemplary, punitive, or enhanced damages; loss of profit, revenue, goodwill, business, opportunity, data, or records; business interruption; substitute services; government fines or penalties; late, rejected, inaccurate, or missed filings; visa, immigration, guest, or official consequences; or damages arising from your failure to review, correct, upload, submit, confirm, or retain data. To the maximum extent permitted by law, QuickTM30’s total aggregate liability for all claims relating to the Service, these Terms, any plan, any top-up, any export, any OCR result, any payment workflow, any data, or any support matter is limited to the fees you paid directly to QuickTM30 for the Service during the three (3) months immediately before the event giving rise to the claim. If you paid no fees during that period, the maximum liability is THB 1,000. Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited. Some jurisdictions do not allow certain exclusions or limitations, so some limitations may not apply to you.
27. Indemnity
You agree to defend, indemnify, and hold harmless QuickTM30, its affiliates, directors, officers, employees, contractors, licensors, and service providers from and against all claims, demands, investigations, proceedings, liabilities, damages, losses, penalties, fines, costs, and expenses, including reasonable legal fees, arising from or related to: your use or misuse of the Service; your breach of these Terms; your violation of law; your collection, processing, review, retention, export, upload, or submission of Guest Data; your failure to provide notices or obtain lawful basis/consent; your staff or device activity; your payment slips or billing disputes; your official filings or failure to file; data you upload; or any claim by a guest, staff member, government authority, third party, or data subject connected with your business or your use of the Service.
28. Force majeure
QuickTM30 is not liable for delay or failure caused by events beyond its reasonable control, including natural disasters, war, civil unrest, labor disputes, telecommunications or internet failures, cloud-provider outages, cyberattacks, malware, denial-of-service attacks, app-store outages, bank/payment outages, government system changes or outages, legal changes, power failures, epidemics, or emergency maintenance.
29. Governing law and dispute resolution
These Terms are governed by the laws of Thailand, without regard to conflict-of-law rules. The parties will first try to resolve disputes informally by contacting support@quicktm30.com. If a dispute is not resolved informally, it will be submitted to the competent courts of Thailand, unless mandatory law requires a different forum. You agree that any claim must be brought within one (1) year after the event giving rise to the claim, unless mandatory law provides a longer period that cannot be shortened by contract.
30. Changes to these Terms
We may update these Terms from time to time. We will update the effective date and may provide notice in the app, by email, on the website, or by other reasonable means for material changes. Continued use of the Service after changes take effect means you accept the updated Terms. If you do not agree, you must stop using the Service before the changes take effect.
31. General terms
You may not assign or transfer these Terms or your account without our prior written consent. We may assign these Terms in connection with a merger, acquisition, reorganization, sale of assets, financing, or by operation of law. If any part of these Terms is found invalid or unenforceable, the remaining provisions remain in effect. Our failure to enforce a provision is not a waiver. These Terms, the Privacy Policy, and any applicable plan/order terms are the entire agreement between you and QuickTM30 for the Service, unless a separate signed agreement states otherwise. Headings are for convenience only. The English version controls to the extent permitted by law if translations differ.
